# Gym enquiry reply messages you can copy

Smaran Challapalli · Published 5 Aug 2026 · Updated 2 Nov 2026

Gym enquiry reply messages are the first answers a gym sends when someone asks about membership. A good reply is fast, names the person, answers the question asked, and ends with one clear next step. These ready-to-use texts cover the situations front desks see most.

## Rules before you paste

- Reply in the language the person wrote in.
- Use their name when you have it.
- Answer first, then ask one question.
- Sign off with the gym's name.
- Fill in every bracket. Never send a message with a bracket still showing.

Brackets like [gym name] are for you to replace with your own details. The wider routine is in [the gym lead follow-up guide](/guides/gym-lead-follow-up/).

## 1. First reply to any enquiry

> Hi [name], thank you for contacting [gym name]. Happy to help. What is your main goal, weight loss, strength, fitness, or something else?

## 2. They ask only "price?"

Do not paste a number and stop. Give the options and move to a visit.

> Hi [name], thanks for asking. We have [plan 1], [plan 2] and [plan 3], and the right one depends on your goal and timings. The best way to see what suits you is a visit. Would tomorrow at [time] or [day] at [time] work?

If you share prices, send them as a short list with what each plan includes, not a bare figure. For how to set them, see [how to price gym memberships in India](/guides/gym-membership-pricing-india/).

## 3. They ask about timings

> Hi [name], we are open [days] from [opening time] to [closing time]. Which time would you usually come? I can tell you how busy it is then.

## 4. They ask about trainers or personal training

> Hi [name], yes, we have trainers for personal training. [Coach name] works with goals like [goal examples]. Would you like to come in for a trial session so you can meet the coach? I can book you for [day] at [time].

## 5. Booking a visit or trial

> Great, [name]. You are booked for [day] at [time] at [gym name], [address]. Map: [link]. Please bring [water, towel, shoes]. [Coach or staff name] will meet you at the entrance.

## 6. Reminder the day before

> Hi [name], a reminder that you are visiting [gym name] tomorrow at [time]. See you then. Reply here if you need to change the time.

## 7. No answer after two days

> Hi [name], just checking in from [gym name]. Are you still looking for a gym? I can answer any questions or book a visit at a time that suits you.

## 8. The "I will think about it" reply

> Of course, [name]. Take your time. If it helps, I can answer anything that is unclear, plans, timings or what the first month looks like. A short visit can also help you decide. Shall I note a time for you?

## 9. They say it is too far

> Understood, [name]. Distance matters when you are going every day. If a [time] slot is easier for travel, it might be worth one visit to see if it works. If not, no problem at all.

## 10. They are comparing with another gym

> That is a good idea, [name]. Visiting both is the best way to compare. Here is what we offer: [two or three honest points, for example coach attention, equipment, timings]. Happy to show you around any day.

## 11. Last follow-up before closing

> Hi [name], I will not message again after this. If you would like to start, reply and we will set it up. Thank you for considering [gym name].

## 12. They say no

> Thank you for letting me know, [name]. If anything changes, we are here. All the best with your training.

## Using these well

Do not send the same text twice to one person. Rotate the wording. Keep a note on the lead sheet of which message you sent and when, and set the next follow-up date each time.

For WhatsApp, reply from the gym's own number so people recognise who is writing. Messages that follow a trial have their own routine, in [how to follow up after a gym free trial](/blog/gym-free-trial-follow-up/).

## Where Helmr fits

Helmr, gym management software for India, is being built so that gym enquiries land in one list with their follow-up dates, and your members hear from your own WhatsApp number. The WhatsApp rail Helmr uses already runs my own studio's number since 22 Oct 2026. Helmr is in early access, and its price is per business plus an add-on per branch, published before launch.

Helmr is in early access for Indian gyms. If you would like to be among the first to use it, [message us on WhatsApp](https://wa.me/918099066799?text=Hi%2C%20I%20want%20early%20access%20to%20Helmr%20for%20my%20gym).

## Frequently asked questions

### Should I share the price in the first reply?

If the person asks, answer honestly, but pair it with what the plan includes and an invitation to visit. A bare number invites comparison on price alone.

### Should I reply on WhatsApp or by call?

Reply on the channel they used. Use a call to book the visit if they are happy to talk, but do not call repeatedly.

### How soon should I reply to an enquiry?

As soon as you can, ideally within minutes. If you cannot reply properly, send a short message with a time you will get back to them.

### Can I use the same message for every enquiry?

Use the templates as a starting point, and change the wording to match the question and the person. Never send the identical message twice to the same lead.
