# How to choose gym management software in India

Smaran Challapalli · Published 25 Sep 2026 · Updated 2 Nov 2026

Choosing gym management software in India comes down to money, lock-in and daily use. Check who holds your member payments, whether the price is published, whether you can export everything and leave, and whether your front desk can run a day on it. This guide gives the checklist, a demo script and a trial plan.

## What gym software must do

Every gym management system sells a long feature list. Ignore the length. A gym in India needs these jobs done well, and the rest is decoration.

- **Billing and renewals.** Take a membership, a plan, a part-payment and a balance. Show who owes what, today.
- **Reminders.** Tell members before the plan ends, on the day, and after. The schedule matters more than the tool; see [a renewal reminder schedule that gets members to renew](/blog/gym-renewal-reminder-schedule/).
- **Attendance.** Know who came in, by fingerprint, QR or the front desk. Biometric readers are common in Indian gyms, so ask about them early.
- **Staff roles.** The owner, the front desk and the coach should see different screens. A coach should not see the revenue report.
- **Leads.** Capture enquiries from Instagram, Meta ads, Google and walk-ins, and make the follow-up visible.
- **Reports.** Collections, expiries, dues, attendance and trainer sessions, without exporting to Excel first.
- **GST invoicing.** An invoice with your GSTIN, the right rate and a running number. The rules are in GST on gym membership.
- **Multi-branch.** Separate GSTIN, payment account and staff per branch, with one view for the owner. See [running a multi-branch gym](/guides/multi-branch-gym/).

## The 22 questions to ask every vendor

Ask all vendors the same questions and write the answers down. A vendor who dodges a question has answered it. Where the answer is "not published", ask for it in writing.

### Money

1. Do member payments go straight to my payment account, or through yours first?
2. Do you take any percentage of member payments? Is it in the contract?
3. If you hold the money, how many days until it reaches me, and what happens if you stop operating?
4. What are the gateway fees, and who pays them?

### Price

5. Is the price per business, per member or per branch?
6. Is the price published on your website, or only given on a call?
7. Does the price rise as my member count rises?
8. What does a second branch cost?
9. Is there a cap on staff logins, trainers or devices?
10. Which features sit behind a higher plan? Ask for reminders, biometrics, reports and the lead tool by name.

### Your data

11. Who owns the member data?
12. Can I export every member, payment, invoice and attendance record, in a file I can open in Excel, at any time?
13. Does the export stay available after I cancel, and for how long?
14. Where is the data stored, and how often is it backed up?

### Messaging and devices

15. Do WhatsApp messages go from my own number or from yours? Members who see a stranger's number often ignore the message.
16. Which biometric devices work, and does the fingerprint template stay on the device?
17. What happens at the front desk if the internet is down?

### People and contract

18. Who helps me move my old data in, and what does it cost?
19. What are your support hours, and in which languages do you answer?
20. Is the company registered in India, and who do I call when something breaks?
21. What are the trial terms? Is a card needed, and what happens on the last day?
22. What is the contract length, and what is the notice period or penalty to leave?

If you only have time for five, ask 1, 6, 12, 15 and 22.

## Price structure is a decision, not a detail

Price per member sounds fair until you grow. A gym that adds members pays more every month for the same screens. Price per business is easier to plan around. Price per branch matters if you will open a second location, so ask for the second-branch price on day one.

Whatever the structure, the price should be on the vendor's website. A price that appears only after a sales call is a price that moves with how the call goes. For a worked method on your own membership prices, read [gym membership pricing in India](/guides/gym-membership-pricing-india/).

## A demo script for the front desk

Do not watch the vendor's tour. Give them your day and watch them do it. Bring your real plans and one real member scenario.

1. **Add a new member** with a three-month plan, a part-payment and a balance due. Time it.
2. **Take a renewal** for a member whose plan ended last week. Does the new plan start from today or from the old end date?
3. **Record a cash payment** and issue a GST invoice. Open the invoice and check the GSTIN, rate and number.
4. **Freeze a membership** for ten days. Does the end date move?
5. **Mark attendance** for a member who forgot their card.
6. **Add a lead** from a walk-in and set a follow-up for tomorrow.
7. **Log in as a coach.** Can they see revenue? They should not.
8. **Export the member list** and open it in Excel.
9. **Show the reminder** a member will receive, and the number it comes from.
10. **Run the day-end report** and match it to the cash in the drawer.

If the vendor needs to "check with the team" on more than two of these, note it.

## Red flags

- The price is not on the website and the salesperson will not give it in writing.
- Member payments pass through the vendor's account, and you cannot see the settlement terms.
- Export is "available on request" or only on a higher plan.
- WhatsApp messages come from the vendor's number and you cannot change it.
- A long lock-in with a penalty, but no trial worth the name.
- Migration is "possible" but nobody can say who does it or when.
- Support is only a chatbot, or only during hours when your gym is empty.
- The demo uses sample data and avoids your scenarios.

## A 2-week trial plan

A trial where you click around proves nothing. Run the gym on it.

**Days 1 to 3: set up.** Enter your real plans, your trainers and one branch. Load 30 to 50 real members. Ask the vendor to help, and note how long they take to reply.

**Days 4 to 7: run the front desk.** Take every new joining and every renewal on the software. Keep your old method running in parallel in a notebook or sheet.

**Days 8 to 10: test the edges.** Freeze a plan, transfer one, refund one, split a payment. Test a GST invoice with your CA or accountant looking at it.

**Days 11 to 12: test messaging and attendance.** Send a reminder to yourself and two staff. Check which number it came from. If you use a biometric reader, enrol five members and check the punches arrive.

**Days 13 to 14: leave on purpose.** Export everything. Open the files. Check the counts against your parallel record. If you cannot get your own data out cleanly in a trial, you will not get it out later.

Score each vendor from 1 to 5 on the 22 questions and on the demo script, then compare. The best score usually belongs to the vendor who answered plainly.

## Switching from software you already use

Most gym owners are not choosing for the first time. They are leaving something. Before you sign anything new, ask your current vendor for a full export and check it. The steps, the order and the data to keep are in [how to switch gym software](/guides/switch-gym-software/), and [a gym software data export checklist](/blog/gym-software-data-export-checklist/) lists what to pull before you cancel.

Keep the old system running until the new one has taken one full renewal cycle without a problem. Do not cancel on the day you import.

## Comparing named vendors

If you already have a shortlist, two comparison pages put the money and lock-in questions side by side: [Helmr vs MyGymDesk](/compare/helmr-vs-mygymdesk/) and [Helmr vs FitnessForce](/compare/helmr-vs-fitnessforce/). A wider list is in [best gym software in India (2026)](/blog/best-gym-software-india/).

## Where Helmr fits

Helmr, gym management software for India, is in development and in early access. On the questions above, these are the commitments: 0% of member payments, with money going to your gym's own payment account and never to Helmr; a price per business plus an add-on per branch, published before launch; free assisted migration included; and WhatsApp messages sent from your own number. The WhatsApp rail Helmr uses already runs my own studio's number since 22 Oct 2026.

Helmr is early access for Indian gyms. Hold it to the same 22 questions as everyone else. To ask yours, [message us on WhatsApp](https://wa.me/918099066799?text=Hi%2C%20I%20want%20early%20access%20to%20Helmr%20for%20my%20gym).

## Frequently asked questions

### What is the best gym management software in India?

There is no single best for every gym. The best one for you passes your own checks: payments go to your account, the price is published, you can export everything, and your front desk can finish the demo script without help. Run the two-week trial before you decide.

### How much does gym management software cost in India?

It depends on whether the vendor charges per business, per member or per branch, and whether any plan features are locked. Some vendors do not publish a price at all. Ask for the price in writing, including the second-branch price and any share taken from member payments.

### Should I pick software with biometric attendance?

If your gym already uses a fingerprint reader, yes, and check that your device model is supported before you sign. If you do not use one, QR check-in at the desk is a simpler start. Ask where the fingerprint templates are stored.

### How long should a free trial be?

Two weeks is the minimum for a gym. It lets you run joinings, renewals, a freeze, a GST invoice and an export on real data. A trial shorter than a week, or one that hides export, is not enough to judge.

### Can I move my members from my old software?

Usually yes, if your old vendor lets you export. Ask the new vendor who does the import, what it costs and how long it takes. Keep the old system running until one full renewal cycle has passed on the new one.
