# Gym fee reminder messages you can copy

Smaran Challapalli · Published 14 Sep 2026 · Updated 2 Nov 2026

Gym fee reminder messages are short notes that tell a member their membership is about to end, or has ended, and how to renew. The best ones are polite, name the date, and carry one payment link. This guide gives templates for each stage, plus the timing and WhatsApp rules behind them.

## Why a reminder message earns its place

Some members leave a gym on purpose. Many just forget the date, the front desk is busy, and a week later the habit is gone. A reminder is the cheapest renewal conversation a gym can have, because it asks for nothing more than a decision.

I run a personal-training studio in Hyderabad, so these are the messages a front desk sends every week. They are written to be pasted, with the gaps for you to fill.

## What every reminder needs

- **The member's name.** A message that starts with a name gets read.
- **The exact date.** Say "ends on 30 November", not "ends soon".
- **One action.** One payment link or one reply. Never two choices.
- **A named sender.** Sign with the gym's name so the member knows it is not spam.
- **Nothing pushy.** A reminder is a service, not a sales pitch.

Fill the words in square brackets with your own details before you send.

## Templates by stage

### Seven days before expiry

> Hi [name], this is [gym name]. Your membership ends on [date]. To keep your slot and your routine going, you can renew here: [payment link]. Reply to this message if you would like to change your plan.

### Three days before expiry

> Hi [name], a quick reminder from [gym name]: your membership ends on [date], three days from now. Renew in one tap here: [payment link]. See you at the gym.

### On the day it ends

> Hi [name], your [gym name] membership ends today, [date]. You can renew right now here: [payment link]. If you want to pause or change your plan instead, just reply and we will sort it out.

### One day after expiry

> Hi [name], your membership at [gym name] ended yesterday. Your plan can start again today if you renew here: [payment link]. Reply if anything is stopping you and we will help.

### A week after expiry

> Hi [name], we have missed you at [gym name]. Whenever you are ready to come back, renew here: [payment link], or reply and we will find a plan that fits.

### After the payment is received

> Thank you, [name]. Your [gym name] membership is renewed and runs until [new date]. Your receipt is attached. See you soon.

### A Hindi version

> नमस्ते [नाम], [जिम का नाम] की ओर से याद दिलाना चाहते हैं कि आपकी सदस्यता [तारीख] को खत्म हो रही है। नवीनीकरण के लिए यह लिंक देखें: [लिंक]। धन्यवाद।

Write in the language your members actually use with you. A reminder in a language the member reads easily is more likely to be answered.

## When to send them

Seven days before, three days before, on the day, one day after and one week after covers almost every gym. The full schedule, with the reasoning for each gap, is in [a renewal reminder schedule that gets members to renew](/blog/gym-renewal-reminder-schedule/). Stop sending once the member renews or replies that they are leaving. A fourth message to someone who said no is how a gym loses a friendly ex-member.

## The WhatsApp rules to know

WhatsApp is where many gyms send these messages, because members are already there. Two rules matter if your messages are sent through the official WhatsApp Business Platform rather than typed by hand.

Meta's documentation describes a 24-hour customer service window: it starts when the member messages you, and resets each time they message again. When the window is closed, you can only send pre-approved template messages ([Meta's send messages page](https://developers.facebook.com/documentation/business-messaging/whatsapp/messages/send-messages), checked 2 Nov 2026). A renewal reminder is usually the first message in a while, so it has to be a template.

The second rule is simpler: send reminders only to members who gave you their number as a member. Do not use a reminder list to promote an offer to people who never asked.

## Where Helmr fits

Helmr, gym management software for India, is in development and in early access. It is being built to take the date-watching off your front desk. Price is per business plus an add-on per branch, and it is published before launch.

Helmr is in early access for Indian gyms. If you want to try it as it opens, [message us on WhatsApp](https://wa.me/918099066799?text=Hi%2C%20I%20want%20early%20access%20to%20Helmr%20for%20my%20gym).

## Frequently asked questions

### How many reminders should a gym send before a membership expires?

Two before expiry is enough for most gyms: one seven days out and one three days out. Add a message on the day it ends and one the day after. More than that starts to feel like pressure.

### Should a fee reminder include a payment link?

Yes. A reminder that asks the member to come and pay at the desk adds a step, and every extra step loses some renewals. One link in the message is the easiest way to turn a reminder into a payment.

### Can I send reminders from a normal WhatsApp Business app?

You can type them by hand, and many small gyms do. It works for a few dozen members, then it becomes a daily chore. Sending in bulk or on a schedule needs the official WhatsApp Business Platform and approved templates.

### What if a member has already paid in cash?

Mark the payment before the reminder goes out. Nothing annoys a member more than a reminder for money they handed over last week. If one slips through, reply with an apology and thank them.
