How to follow up after a gym free trial
In short
Gym free trial follow-up is the set of messages and conversations before and after a trial session that turn a visitor into a member. The trial itself does not sell the membership. What you do in the next three days usually does.
#Why a trial needs its own routine
A free trial is the warmest point in the whole lead journey. The person has booked, travelled to you and used your floor. If they leave without a next step, most of that effort is wasted.
I run a personal-training studio in Hyderabad, where the trial is the main way people join. The routine below is what keeps it from being a free workout.
#Before the trial
The trial starts when the booking is made.
- Confirm in writing. Send the day, time, address, map link and what to bring.
- Remind the day before. One short message is enough.
- Remind on the morning. Say who will meet them at the door.
- Note their goal. The coach should know it before the person arrives.
A no-show is not a rejection. See the last section for how to handle it.
#During the trial
The trial is the moment to sell, quietly.
- Greet by name and have the coach ready.
- Ask about the goal and listen. People join when they feel understood.
- Give a real session. Not a tour with a few exercises. Something they can feel the next day.
- Show the structure. How plans work, what the first month looks like, who will help them.
- Book the next step before they leave. Either the joining conversation or a second session.
Do not hand over the price list as the last thing. Talk about plans while they are still warm, in the gym.
#After the trial: the messages
#Within two hours
#The next morning
#Day 3
#Day 7, the closing message
Fill in the brackets with your own details. Send them from the gym's own number, signed with the gym or coach name.
#What to do when they do not join
Ask, once. "What would have made you say yes?" gives you the most useful answer in the whole process. Common answers are price, timings, distance and fear of not sticking to it. Log the reason on the lead sheet and look at it every month. If the same reason appears often, fix it in the offer, not the message.
If someone says no, thank them and close the lead. A short win-back message a few months later, such as a new batch or a seasonal plan, is fine. Repeated chasing is not.
#What to do about no-shows
Message the same day: "We missed you today. Would you like to rebook? Two slots are free tomorrow." Offer once or twice more, then stop. Many no-shows were stuck at work, not uninterested.
#Keep the numbers
Track these from your lead list each month:
- Trials booked.
- Trials attended.
- Joined within seven days.
If many book but few attend, strengthen the reminders. If many attend but few join, work on the trial session and the follow-up. This links back to the wider routine in the gym lead follow-up guide, and the wording for first replies is in gym enquiry reply messages.
#Where Helmr fits
Helmr, gym management software for India, is being built so that a lead, its trial booking and its follow-up dates sit in one place. Your members will hear from your own WhatsApp number. The WhatsApp rail Helmr uses already runs my own studio's number since 22 Oct 2026. Helmr is in early access, and its price is per business plus an add-on per branch, published before launch.
Helmr is in early access for Indian gyms. If you would like to be among the first to use it, message us on WhatsApp.
Frequently asked questions
How soon should a gym message someone after a free trial?
Within a couple of hours, while the session is fresh. A short thank-you with a question is enough. The detailed offer can follow the next morning.
How many follow-ups after a trial are too many?
Three or four over about a week is a fair limit. Make the last one clear that you will stop, then stop.
Should a free trial be a full session?
Yes. A real session the person can feel is more persuasive than a tour. Keep the time and scope fixed so it stays manageable for the coach.
What if the person says the price is too high?
Ask what they were expecting and what they are comparing with, then explain what the plan includes. Do not cut the price on the first push.
