A gym membership freeze policy template you can copy
In short
A gym membership freeze policy is a short written rule that lets a member pause a running plan and get the paused days back at the end. It names who can freeze, for how long, at what fee, and how the new end date is worked out. This template covers all of it.
#The template
Copy the text below, replace each bracket with your own number, and delete lines you do not need.
#Why each line is there
Eligibility stops the monthly member freezing every second week. A freeze is a favour to someone who has paid for a longer stretch.
A minimum keeps the desk from processing freezes of two days. They cost more in admin than they are worth.
A maximum protects your cash flow. A plan frozen for six months is a plan you were paid for and have not delivered.
Backdating is the line members push on most. A member who comes back and says "I was away last month" wants the days returned for time they never told you about. Keep the rule firm and kind: freezes start from the day they are asked.
The written confirmation is what saves you later. When the new end date is in a message, there is no argument at renewal.
#The front-desk steps
- Check the member's plan is running and qualifies.
- Check the dates against the minimum and maximum.
- Note the freeze in the register (member, plan, from, to, new end date).
- Switch off access for the dates frozen.
- Pause reminders and PT bookings for the plan.
- Send the confirmation message.
A confirmation message that works:
#Freezing a PT pack
A personal-training pack runs on sessions, and a session needs a trainer's time. Most gyms pause the PT pack together with the gym plan. If you let PT continue while the gym freezes, the member is effectively training at a different place from the one they paid for. Pick one rule and say it. The same logic applies to commission: the trainer is paid for delivered sessions, so a paused pack means no sessions and no commission. See how PT commission works per session.
#What to avoid
- Writing "as per management discretion" and nothing else. Members read that as "no rule".
- Different rules for different branches without telling members.
- Letting a freeze run past the plan's original end date without a new date in writing.
The bigger picture, including transfers and what to offer first, is in the guide to membership freeze and transfer.
#Where Helmr fits
Helmr, gym management software for India, is being built so that a freeze is one action on the member record, with the new end date and the paused access following automatically. It is in early access, and its price is per business plus an add-on per branch, published before launch.
Helmr is in early access for Indian gyms. If you would like to be among the first to use it, message us on WhatsApp.
Frequently asked questions
What is a membership freeze in a gym?
It is a pause on a running plan. The member does not use the gym for the frozen days, and those days are added to the end of the plan.
How many days can a gym membership be frozen?
There is no fixed number. Many gyms allow a minimum of about seven days and a total that depends on plan length. Set limits your cash flow can carry and write them down.
Should a freeze fee be charged?
You may. A small admin fee discourages casual freezes, while free freezes for medical reasons build goodwill. State your choice in the policy.
Can a member freeze after the plan has expired?
No. A freeze applies to a running plan. After expiry the member renews or joins again.
