A gym renewal reminder schedule that gets members to renew

In short

A gym renewal reminder schedule is a fixed set of dates, counted from a member's expiry, on which the gym sends a short message asking them to renew. A good one has five touches over about two weeks, stops the moment the member pays, and never repeats itself.

The wording for each of these is in the fee reminder messages guide. This post is about the timing.

#Why these gaps

Seven days out is early enough that the member can decide without feeling rushed, and late enough that they still remember they joined. Much earlier than that and the message is easy to forget.

Three days out is the one most members act on. It is close enough to feel real, and there is still time to arrange the money.

The expiry day matters because a renewal on the day means no gap in the member's routine. A gap of even a few days is where habits break.

One day after catches the honest forgetters. This message alone often brings back the members who simply forgot.

Seven days after is the last attempt. After this, the member is a lapsed member, and the right move is a separate, occasional win-back message rather than more reminders.

#Rules that keep the schedule fair

  • Stop on payment. The moment a member pays, the schedule for that member ends. Check cash payments too.
  • Stop on a no. If a member replies that they are leaving, thank them and stop.
  • One message at a time. Never send two reminders on the same day.
  • Morning or early evening. Send when a member is likely to look at the phone, not during work hours or late at night.
  • Respect freezes. A member on a freeze should not get a reminder for the plan they paused.

#Different plans, different schedules

A one-month member and a twelve-month member should not get the same treatment. For a monthly plan, the seven-day notice may feel too early, so some gyms send only the three-day and expiry-day messages. For a long plan, add a first notice around thirty days out so the decision is not left to the last week.

Personal-training packs run on sessions, not dates. Remind when a few sessions are left, because that is when the member is deciding whether to continue.

#Doing it by hand, and when to stop

A front-desk team can run this schedule from a spreadsheet and a calendar for a few dozen members. The cost shows up as soon as the list grows: somebody has to check expiry dates every morning, and the day they are off, the reminders do not go.

Helmr, gym management software for India, is being built so that the schedule runs from the membership dates themselves. It is in early access, and its price is per business plus an add-on per branch, published before launch.

Helmr is in early access for Indian gyms. If you would like to be among the first to use it, message us on WhatsApp.

Frequently asked questions

How early should a gym start reminding members to renew?

Seven days before expiry works for most monthly and quarterly plans. For plans of six months or more, a first notice about thirty days out gives the member time to plan.

How many reminders is too many?

Five touches over about two weeks is a good limit. Past a week after expiry, switch to an occasional win-back message instead of more reminders.

Should reminders go out automatically?

Automatic is better once the member list is more than a few dozen, because the schedule then does not depend on one person remembering. It must stop on payment, or members who already paid will be reminded.

What if a member pays after the reminder is sent?

Stop the rest of the schedule for that member and send a short thank-you with the new end date. Do not let a reminder arrive after a payment.
