Gym rules and regulations: a sample list to adapt
In short
Gym rules and regulations are the written conduct and safety rules every member agrees to when they join. Good ones are short, specific and visible. This post gives a sample list in six groups that you can adapt, print and put in your admission form.
#How to use this list
Do not paste all of it. Rules that nobody enforces teach members that none of the rules count. Choose the ones that match a real problem in your gym, write them in plain words, and make sure the front desk will enforce them the same way every time.
This is a business sample, not legal advice. If a rule touches health, liability or refunds, have a local lawyer read the final text.
#1. Entry and membership
- Entry is for the member named on the membership only. Memberships are personal.
- Members check in at every visit, by the method the gym uses (fingerprint, QR or card).
- Guests need prior approval and a day pass.
- Members must have a valid plan. Expired plans are renewed at the desk before entry.
- Freeze and transfer follow the freeze and transfer policy.
#2. Health and safety
- Members declare any medical condition on the admission form and update it if it changes. See the gym admission form post.
- Members should warm up and use the equipment as shown by the trainer.
- Members should stop and tell staff if they feel dizzy, unwell or in pain.
- Children below a stated age are not allowed on the floor.
- Know where the first-aid kit is. Keep emergency numbers visible near the desk.
#3. Hygiene
- Wear clean sports clothes and closed sports shoes on the floor.
- Carry a towel. Wipe benches and machines after use.
- Keep the shower and changing areas tidy.
- No smoking, tobacco or alcohol on the premises.
#4. Using the equipment
- Re-rack weights after every set.
- Do not drop dumbbells or barbells.
- Share machines during busy hours. Allow others to work in between sets.
- Do not move equipment between zones.
- Report any broken equipment to staff instead of using it.
- Use collars on barbells when loading heavy weight.
#5. Behaviour and privacy
- Treat staff and other members with respect. Harassment of any kind leads to termination of the membership.
- No photos or videos of other members without their consent. Make this one clear and firm.
- Phones on silent. Calls outside the floor.
- Personal trainers coach their own clients. Members should not take training from others on the floor without telling the front desk.
#6. Payments and policies
- Fees are paid before the plan starts, or as agreed in writing for part payments.
- Fees are non-refundable, except as stated in the refund policy.
- Plan dates are shown on the invoice or receipt. Members should keep the receipt.
- The gym is not responsible for lost belongings. Lockers are available for use at the member's own risk.
- The gym can update its rules with notice on the notice board and by WhatsApp.
#Where each rule should live
| Where | Which rules |
|---|---|
| Admission form | Health declaration, payment terms, refund and freeze, signature |
| Wall at the entrance | Dress, hygiene, equipment, behaviour |
| Website and WhatsApp welcome message | The short version of all rules |
| Trainer handbook | Floor safety and spotting rules |
Rules read once at admission are forgotten by the second week. Short and visible beats long and signed.
#Enforcing them without drama
- One warning, in private. Say it once, kindly.
- A second time, in writing. A WhatsApp message is enough.
- A third time, the manager. Decide on suspension or termination only as your written rules allow.
Record each warning. A rule that cannot be traced to a record is just an opinion.
#Where Helmr fits
Helmr, gym management software for India, is being built so that a member's plan, check-in and notes sit in one record, which makes it simpler to see who has broken which rule and when. It is in early access, and its price is per business plus an add-on per branch, published before launch.
Helmr is in early access for Indian gyms. If you would like to be among the first to use it, message us on WhatsApp.
Frequently asked questions
What are the basic rules of a gym?
Personal membership, hygiene, clean shoes, safe use of equipment, re-racking weights, respect for others, and no photography of other members without consent.
Should gym rules be signed by the member?
Yes, a signature on the admission form shows that the member has seen them. Also display them at the entrance so they are visible every day.
How long should a gym rules list be?
Short enough to read in a minute. Ten to fifteen clear rules are enough. Add a rule only when a real problem repeats.
Can a gym cancel a membership for breaking rules?
Only if your written terms say so and you followed the steps in them. Have the wording on termination checked by a local lawyer before you print it.
