WhatsApp utility vs marketing messages for gyms
In short
WhatsApp template categories for gyms decide how Meta treats a message: authentication, utility or marketing. A gym sending a receipt or a renewal reminder is in a different position from one sending an offer. Getting the category right matters for approval, for cost and for keeping your number in good standing.
#What the rules say (checked 2 Nov 2026)
Everything in this section is read from Meta's own pages, checked 2 Nov 2026.
Meta's message template documentation says each template must be categorised as authentication, marketing or utility, and that template categories also factor into pricing. It also says template messages are the only type of message that can be sent to a WhatsApp user outside a customer service window.
Meta's template category guidelines describe the three categories this way:
- Marketing templates are the most flexible, and can serve goals from awareness to driving sales.
- Utility templates are typically triggered by a user action or request. They must be non-promotional, and either specific to or requested by the user, or essential to their safety.
- Authentication templates are the most restrictive. They verify identity, usually with one-time codes.
On miscategorisation, the same page says a utility template that should be marketing has its category changed to marketing. It stays approved and can still send. Businesses usually get one day's notice, though warned businesses may see changes take effect immediately. Repeated misuse can lead to escalating enforcement, and businesses have 60 days to appeal a category change in Business Support Home.
On charges, Meta's pricing page says businesses are charged only when a message is delivered, and that marketing, utility and authentication templates are charged at rates that vary by market and category. This post does not quote rupee rates. Read them from Meta's page on the day you decide, because they change. The pricing page also describes changes to how utility replies inside an open customer service window are charged from 1 October 2026, so check the current text before you budget.
#How this maps to gym messages
The test in Meta's wording is whether the message is triggered by something the member did, is specific to them and contains no promotion. Applying that to common gym messages is my reading, not Meta's list, and the final category is always Meta's decision.
| Gym message | Likely category | Why |
|---|---|---|
| Payment receipt after a member pays | Utility | Triggered by the member's payment, specific to them |
| Membership start confirmation | Utility | Follows their joining |
| Class or PT session booking confirmation | Utility | Follows their booking |
| Renewal reminder with the plan end date | Likely utility, but check | About their own plan, but any offer text can tip it to marketing |
| Renewal reminder with "renew this week and get a discount" | Marketing | Contains a promotion |
| Diwali offer, new batch, referral campaign | Marketing | Promotional |
| One-time code to log in | Authentication | Identity verification |
#The mistake that gets templates changed
The common slip is a good utility message with a sales line added at the end. "Your membership ends on 12 Dec. Renew today and get a free PT session." The first sentence is a notice. The second is a promotion. Because the template now promotes something, it can be moved to marketing.
Keep the two apart:
- Reminders say the plan name, the end date and how to pay. Nothing else.
- Offers go out as separate marketing messages, only to members who agreed to hear them.
The wording of reminders is in the fee reminder messages guide, and the timing is in the renewal reminder schedule.
#Practical rules for a gym
- Write each template for one job. A receipt is a receipt.
- Do not hide offers in notices.
- Get permission to message. Note when and how each member agreed.
- Make stopping easy. Honour a member's reply asking you to stop.
- Watch the category after approval. If a template shows as re-categorised, read the notice and fix the text rather than ignoring it.
- Send from your own number. Members recognise and reply to the gym they know.

#Where Helmr fits
Helmr, gym management software for India, is being built so that members hear from your own WhatsApp number. The WhatsApp rail Helmr uses already runs my own studio's number since 22 Oct 2026. Helmr is in early access, and its price is per business plus an add-on per branch, published before launch. If you would like to be among the first to use it, message us on WhatsApp.
Frequently asked questions
Is a gym renewal reminder a utility message?
It can be, if it is about the member's own plan and has no promotion. Meta decides the category, so keep the text to the plan name, end date and payment details.
What happens if Meta changes my template to marketing?
According to Meta's guidelines, the template stays approved and can still send, but as marketing. You can review and appeal within 60 days in Business Support Home.
Can a gym send offers on WhatsApp?
Yes, as marketing templates, to members who have agreed to receive them. Keep offers out of receipts and reminders.
How much does each category cost?
Rates vary by market and category and change over time. This post does not quote them. Read them on Meta's pricing page on the day you plan your spend.
