Helmr vs the GymBook gym management app (AppTrail)
In short
Helmr vs GymBook gym management app (AppTrail) is a comparison of two gym management products for Indian gyms. It looks at who holds member payments, how prices are published, branch pricing, migration, WhatsApp number ownership and data on exit. Helmr is in early access. GymBook is made by AppTrail Private Limited, Bangalore.
#How they differ on the money and lock-in axes
Vendor cells below come from GymBook's own pages at gymbook.in, read on 2 Nov 2026. "Not published" means the page does not say. This is not DGymBook, a different product.
| Axis | Helmr (early access) | GymBook by AppTrail (sources, checked 2 Nov 2026) |
|---|---|---|
| Who holds member money, and the take rate | 0% of member payments. Money goes to the gym's own payment account, never Helmr's. | Take rate and payment fees: not published on its homepage. |
| Price structure | Early access. Price per business plus a per-branch add-on, published before launch. | Three tiers (Starter, Growth, Pro) by 3, 6 and 12 months, plus 18% GST, on its homepage. Tiers are capped by member count and staff logins. |
| Branch pricing | A per-branch add-on, published before launch. | Per-branch or extra-location price: not published. |
| Migration | Free, assisted and included, as a commitment. | Not published. |
| WhatsApp number | Your members hear from your own WhatsApp number. The WhatsApp rail Helmr uses already runs my own studio's number since 22 Oct 2026. | Its homepage lists "WhatsApp & SMS integration" and template setup. Whose number is used, and the cost: not published. |
| Data on exit | You export it: members, payments, invoices, attendance. Export stays available for 30 days after cancellation, per helmr.in/pricing. | Export: not published. Its account deletion page says data is deleted within 180 days. |
| Indian ownership and support | Built for Indian gyms. Early access support is by WhatsApp. | AppTrail Private Limited, Bangalore address and GST number in its footer. Support is by email; no phone number is published. |
#How much does GymBook cost?
GymBook's pricing section (checked 2 Nov 2026) shows the India tab in rupees plus 18% GST. Starter, which is up to 1,000 members and the gym owner login only, is ₹649 for 3 months and ₹1,199 for 6 months. Growth, up to 2,000 members and two staff logins, is ₹799 for 3 months and ₹1,499 for 6 months. Pro, with unlimited members and staff logins, is ₹899 for 3 months and ₹1,599 for 6 months. The 12-month prices are priced on their page.
Per-branch price, payment fees and setup fees are not published. A free trial length is not published either, though the page says "Start free and scale as you grow". Its refund policy says subscription fees are non-refundable once paid, with no partial refunds for unused periods.
Do the sum for your own gym: member count decides your tier, and staff logins decide it again if you have a front desk and coaches. Our gym software cost guide shows how to add it up.
#What Helmr is building
Helmr is building one gym app for the owner, front desk and coach. It plans to cover billing with GST invoices, PT commission per delivered session, payroll, QR kiosk check-in, and biometric attendance through ESSL and ZKTeco devices with a bridge, where templates stay on the device and QR is always the alternative. It will take enquiries through a lead webhook. For gyms with more than one location it plans a business, brand and branch structure with a GSTIN and payment account per branch. None of this is live today. Read the multi-branch gym guide for how that setup should work.
#GymBook alternatives for Indian gyms
If you are collecting quotes, Helmr is the early-access option that publishes its commitments before you book anything: 0% of member payments, price per business plus a per-branch add-on published before launch, free assisted migration, and your own WhatsApp number. Other options are listed in best gym software in India, and another India-built comparison is at Helmr vs MyGymDesk.
