Best WhatsApp API providers for Indian gyms (2026)

In short

The best WhatsApp API providers for Indian gyms are the ones that leave the number and the member data with the gym, charge Meta's price without a hidden markup, and let the gym leave cleanly. This list judges eight options on those points, using each vendor's own pages, checked 2 Nov 2026.

Disclosure. WhaBuzz is ranked first below. WhaBuzz and Helmr are operated by the same company: whabuzz.com and helmr.in both name Surya Narayana Enterprises LLP. I write this site, so read the ranking with that in mind, and use the checklist further down to test every vendor yourself.

#What a gym actually sends

A gym does not need a chatbot on day one. It needs a few messages sent reliably from one number members already trust.

  • Renewal and payment reminders. These are tied to something the member did (joined, paid, expires on a date). On WhatsApp they are utility templates. The wording is in the fee reminder messages guide and the timing is in the renewal reminder schedule.
  • Receipts and class or session confirmations. Also utility.
  • Offers, festival wishes with a discount, win-back messages. These are marketing templates, and Meta prices them in a higher category than utility. A planned post on utility versus marketing for gyms will cover the split in detail.
  • Replies to a member who messaged first. Free-form replies work only inside the 24-hour customer service window. Meta says that when the window closes, you can only send pre-approved template messages (checked 2 Nov 2026).

Every template needs Meta's review. Meta says "it can take up to 24 hours for an approval decision to be made" (checked 2 Nov 2026).

#How this list was judged

Nine questions, all about the gym's position rather than the vendor's feature count:

  1. Who owns the number and the WhatsApp Business Account?
  2. Does the vendor add a per-message markup over Meta's own price?
  3. Is there a wallet or prepaid balance, and what happens when it runs out?
  4. Are there setup fees?
  5. How long does onboarding take?
  6. Does the vendor help with template approval?
  7. Can the gym export its data and leave?
  8. Is there support in India?
  9. How many numbers does one account cover?

Meta publishes its per-message rates by category and market, and says it changes prices only on 1 January, 1 April, 1 July or 1 October. It also gives each business phone number 1,000 free service messages a month (Meta pricing, checked 2 Nov 2026). Whatever a vendor charges is on top of that, or in place of it if the vendor bundles Meta's fee.

Where a vendor's page does not say, this list writes "not published". It does not guess.

#1. WhaBuzz

WhaBuzz describes itself as a WhatsApp Cloud API gateway for businesses and platforms in India, and as a Meta Tech Provider. Its pricing page (checked 2 Nov 2026) lists ₹500 a month for the first number and ₹250 for each extra number, excluding GST, with no per-message fee. Meta bills message charges to the business's own Meta account at Meta's rate.

  • Wallet: prepaid, minimum top-up ₹500 (checked 2 Nov 2026). Each day, one thirtieth of a number's monthly price is deducted. If the balance runs out, sending continues for 7 days with alerts, then outbound pauses while inbound keeps working.
  • Trial: 7 days.
  • Setup fee: none listed. Onboarding time: not published.
  • Template approval: Meta decides. Approved templates can be imported through the API; help with wording is not described.
  • Ownership and exit: a number moves over if the WhatsApp Business Account is in the business's name (migration guide). Message bodies are kept 90 days by default, configurable to 30, 180 or 365. A data export feature is not described.
  • Support: [email protected]. Numbers per account: priced per number, no maximum published.

It is an API gateway, not an inbox or a campaign tool, so a gym uses it through software that sends the messages. The rail already runs my own studio's number since 22 Oct 2026, and Helmr's WhatsApp messaging is being built on it. Helmr, gym management software for India, is in early access.

#2. Meta Cloud API, direct

A business can open a WhatsApp Business Account with Meta and use the Cloud API without a reseller. Meta lists rates by category and market on its pricing page (checked 2 Nov 2026), so there is no vendor markup because there is no vendor. The cost is engineering time: the gym needs someone to build sending, webhooks, an inbox and retries. Support is Meta's documentation. Wallet, setup fee and numbers per account follow Meta's rules, not a vendor's plan.

#3. Interakt

Interakt sells plans with a shared inbox and campaigns. Its pricing page (checked 2 Nov 2026) lists Growth at ₹2799 a month and Advanced at ₹3799 a month, plus taxes, and shows its own per-message rates for Indian numbers on each plan: marketing ₹0.958 on Growth and ₹0.949 on Advanced, utility ₹0.150 and ₹0.140. Enterprise is listed as "No Markup Charges". Setup fee: not mentioned. Numbers per account: not stated. Free trial: offered, length not stated.

#4. WATI

WATI bills quarterly in rupees. Its page (checked 2 Nov 2026) lists Growth at ₹2,699 a month and Pro at ₹5,799 a month, with a limit on included users. It says there is no setup fee for the WhatsApp API, and a 7-day free trial. Meta's per-message charges "vary for marketing, utility & authentication"; any markup is not stated on the page, and the rate cards are linked per plan. Additional numbers are an add-on, priced on the page.

#5. AiSensy

AiSensy (checked 2 Nov 2026) lists per-message rates for India: marketing ₹1.09, and utility, authentication and service ₹0.145. Its core subscription prices are not shown as figures on the page. Add-ons such as the chatbot builder are priced separately. The FAQ says AiSensy does not charge to procure the WhatsApp Business API. A markup over Meta is not stated, and the number of numbers per account is not stated.

#6. Gupshup

Gupshup is a messaging platform that works with the WhatsApp Business API. When checked on 2 Nov 2026, the page did not show a fee model or any figures, so per-message markup, platform fee, setup fee and trial are all "not published" here. Ask the sales team for a written quote at your own volumes.

#7. Twilio

Twilio is a developer platform, so the gym or its software vendor writes the integration. Its page (checked 2 Nov 2026) states a per-message fee of $0.005, inbound or outbound, billed in dollars, with Meta's template fees passed through on top. A $0.001 fee applies to failed messages. Setup fee: not mentioned. Support in India: not published on that page.

#8. Plivo

Plivo is also a developer platform. With the United States and USD selected, its page (checked 2 Nov 2026) shows a platform fee of $0.0010 per inbound or outbound WhatsApp message and $10 a month per registered WhatsApp Business Account, with Meta's category rates shown separately. Setup fee and trial: not mentioned. India pricing in rupees: not shown on the page when checked.

#Questions to ask any vendor before you sign

Copy these into an email and ask for answers in writing.

  1. Is the WhatsApp Business Account in my business's name, and can I see it in Meta Business Manager?
  2. If I leave, can I take my number and my templates with me? Who must approve the move?
  3. What do you charge per message over Meta's own rate? Show me one invoice line.
  4. What is the monthly cost at my volumes: reminders for all members each month, plus one offer a month?
  5. Is there a prepaid wallet? What happens to sending when it hits zero, and is unused balance refundable?
  6. Is there a setup, onboarding or number-registration fee?
  7. How many days from sign-up to a live number?
  8. Who writes and fixes templates when Meta rejects one?
  9. What can I export (contacts, opt-outs, message history), in what format, and for how long after I cancel?
  10. Who answers the phone in India, and in what hours?
  11. How many numbers can one account hold, and what does each extra cost?

#How to move a number between providers

Moving the number is easier than people fear, if the gym owns the account. The steps below follow Meta's model and WhaBuzz's migration guide (checked 2 Nov 2026).

  1. Check who owns the WhatsApp Business Account. Look in Meta Business Manager under WhatsApp accounts. If the old provider owns it, ask them in writing to transfer it to your business, or move the number to an account you own.
  2. Export what will not travel. Contact lists, opt-in and opt-out records, and message history stay with the old provider. Download them first.
  3. Connect the number to the new provider and bring over the approved templates.
  4. Keep the old provider open until you have seen live traffic on the new one.
  5. Cut over at a quiet hour, send a test message, and confirm an inbound reply arrives. The migration guide warns of a short window where inbound messages can reach neither provider.

Do this outside the renewal rush, not in the last week of the month.

#Where Helmr fits

Helmr is being built so that members hear from the gym's own WhatsApp number, with reminders running from membership dates, and the gym keeps ownership of that number. It is in early access, and its price is per business plus an add-on per branch, published before launch. For the wider software list, see the best gym software in India. Frequently asked questions

Do I need a BSP to use the WhatsApp Business API in India?

No. A business can use Meta's Cloud API directly. A provider saves engineering work, and gives the gym an inbox or sending tools that the raw API does not.

Is a renewal reminder a utility or a marketing message?

A reminder tied to a member's own plan and expiry date is a utility template. An offer, a discount or a win-back campaign is marketing. Meta prices the two categories differently.

How long does WhatsApp template approval take?

Meta says it can take up to 24 hours for an approval decision to be made. Plan for that before a renewal week, and submit templates early.

Can I keep my gym's WhatsApp number if I change provider?

Yes, if the WhatsApp Business Account is in your business's name. If the provider owns it, ask them in writing to transfer it before you cancel.

What should I check on a provider's invoice?

Look for a per-message line on top of Meta's charge, a platform fee, a wallet expiry rule and any setup or onboarding fee. Ask for a sample invoice at your volumes.
