Best attendance apps for gyms in India (2026)

In short

Best attendance apps for gyms in India, in 2026, are the gym software products that record who walked in and check the membership at the door. Seven are listed here, each read from the vendor's own page on 2 Nov 2026 and judged on check-in method, device lock-in, pricing and exit.

#How this list was judged

Attendance looks simple until the door fails. These are the questions that decide whether a system works on a busy morning:

  1. Check-in method. QR, fingerprint, face, RFID or manual?
  2. Alternative when one method fails. If the device is down or a phone is dead, what happens?
  3. Hardware lock-in. Do you have to buy the vendor's devices, or can you use common ones?
  4. Membership check. Does an expired member get stopped, or only recorded?
  5. Published pricing. Is attendance in the base price or an add-on?
  6. Data on exit. Can you take attendance and member records out?

Helmr is ranked first because it is the only entry judged on committed design choices. It is in early access. Every other entry is read from the vendor's own page. Where the page does not say, this list says "not published".

#1. Helmr (early access)

Helmr, gym management software for India, is in early access. It is building QR kiosk check-in, so a member will scan at the front desk or on a screen at the door. It also plans ESSL and ZKTeco biometric support through a bridge, with fingerprint templates staying on the device and QR always available as the alternative. None of this is live yet.

On the money axes, Helmr takes 0% of member payments, the money goes to the gym's own payment account, and pricing will be one price per business plus a per-branch add-on, published before launch. Migration will be free and assisted. Your data export stays available for 30 days after cancellation, per the pricing page. To see how the methods compare, read fingerprint, face or QR.

#2. MyGymDesk

MyGymDesk's pricing page (checked 2 Nov 2026) says QR check-in and attendance tracking are included on all plans. Biometric integration with eSSL and ZKTeco devices is included on Free and Growth and up, and Starter can add it as a paid add-on. Comparison: Helmr vs MyGymDesk.

#3. GymBook

GymBook (checked 2 Nov 2026) says all plans include QR attendance. Biometric and face attendance are not mentioned on the page read. Its Starter plan is ₹649 for 3 months, excluding 18% GST. Comparison: Helmr vs GymBook.

#4. Easy Gym Software

Easy Gym Software (checked 2 Nov 2026) says it supports fingerprint, facial recognition and RFID devices, allows entry only for active memberships and blocks expired ones. QR is not mentioned on the page read. It says plans start at ₹799; the period and GST are not stated. Comparison: Helmr vs Easy Gym Software.

#5. FitGymSoftware

FitGymSoftware (checked 2 Nov 2026) lists biometric integration with one device on its Premium plan and multiple devices on Premium +. QR and face recognition are not mentioned on the page read. Comparison: Helmr vs FitGymSoftware.

#6. GymMaster

GymMaster (checked 2 Nov 2026) lists RFID key fobs, door and reception readers and a camera-based tailgating system, with door access on a separate software-plus-access price. QR check-in and kiosk are not mentioned on the page read. Prices are in USD, AUD, NZD and JPY, not rupees. Comparison: Helmr vs GymMaster.

#7. GymOwl

GymOwl (checked 2 Nov 2026) lists "Attendance Tracking" in its first yearly plan. The page does not say whether that means QR, biometric or face, and does not say whether it checks membership status at the door. Comparison: Helmr vs GymOwl.

#Why one method is never enough

Fingerprint readers fail with wet or worn fingers. Phones die. Wi-Fi drops. A good setup has a primary method and a quick alternative at the same desk. Read how QR check-in works and where it fails and the biometric attendance guide before you pick hardware.

#Questions to ask any vendor before you sign

  1. Which check-in methods are included in the base price, and which cost extra?
  2. Do I have to buy your devices, or do ESSL and ZKTeco machines work?
  3. What happens at the door when the device or internet is down?
  4. Does an expired member get blocked or only recorded?
  5. Where are fingerprint templates stored, on the device or on your servers?
  6. If I cancel, can I export attendance history, and for how long?
  7. Is any of this written on your pricing page or in the contract?

Frequently asked questions

What is the best attendance app for a gym in India?

This list ranks Helmr first because its check-in design is committed: QR kiosk, with biometric through a bridge and templates staying on the device. Helmr is in early access. The others are read from their own pages.

Is QR attendance enough for a gym?

It works for most gyms, but keep a backup at the desk. See the QR check-in post for failure cases.

Do I need fingerprint hardware?

Not always. MyGymDesk and GymBook say QR attendance is included on their plans, checked 2 Nov 2026. Fingerprint needs a device and a membership check behind it.

Can I use my existing ESSL machine?

Ask each vendor. MyGymDesk's page names eSSL and ZKTeco integration, checked 2 Nov 2026. Others do not say.
